For legal practices

Billing, payroll and practice numbers, kept current.

Visory runs bookkeeping, payroll, accounts payable and accounts receivable for Australian law firms, with a dedicated team and Delphi AI under their oversight. Once a month, Visory Insights shows partners how billing, work in progress and cash are tracking.

  • Aged debtors reported every week, by partner and by client, and unbilled time every month, while the fees can still be collected.
  • A named Payroll Officer runs every pay run, checked by Delphi AI before it is paid: support staff on the Legal Services Award, salaried lawyers, and super within seven business days.
  • Lock-up, realisation and partner drawings every month, briefed by your Business Performance Partner, with one move to make.

Who this is for

Built for firms where the partners still run the numbers.

If your partners bill the work, chase the debtors and approve the pay run between matters, this is the finance function for it.

  • Principal-led firms of 5 to 100 people, roughly $750k to $20m in fees, led by a principal or managing partner.
  • Fees billed by the matter: time-based, fixed-fee, or a mix, with work in progress held in a practice management system.
  • Salaried lawyers alongside support staff on the Legal Services Award, from legal secretaries to law clerks and graduates.
  • A practice manager, a part-time bookkeeper, or a partner doing the finance work after hours, with trust accounting already with a specialist.

Anywhere in Australia. Firms under the Uniform Law and firms under their own state’s Act work with the same team, on the same monthly close.

The pressure

Four rules decide when earned fees become cash.

In New South Wales, Victoria and Western Australia, the Legal Profession Uniform Law sets how costs are disclosed, billed and recovered; firms in other states work under their own state’s Act. Wages and super run on separate clocks. Between the hour recorded and the fee banked, the finance function either closes the gap or leaves it open.

A matter running past its estimate is a cash risk.

Work in progress set against each estimate shows the responsible partner which matters need an updated disclosure before the next bill goes out.

Set by Legal Profession Uniform Law

A law practice must disclose in writing how its costs will be calculated and an estimate of total costs when, or as soon as practicable after, it is instructed, and disclose any significant change. If it does not, the costs agreement is void and the client need not pay until the costs are assessed.

Legal Profession Uniform Law, sections 174 and 178; in force in NSW and Victoria from 1 July 2015, and in Western Australia from 1 July 2022.

Unbilled time is cash pushed back by at least a month.

Nothing can be chased, or earn interest, until the bill is given, so a slow billing run shows up later as debtor days.

Set by Legal Profession Uniform Law

A law practice cannot sue for costs until at least 30 days after giving a compliant bill. Where the costs agreement is silent, interest can be charged on costs unpaid 30 days or more after the bill, if the bill states that interest is payable and the rate. The rate is capped under the Uniform Rules, and generally no interest runs on a bill given more than six months after the matter is complete.

Legal Profession Uniform Law, sections 194 and 195; in force in NSW and Victoria from 1 July 2015, and in Western Australia from 1 July 2022.

Long weeks before a hearing or a settlement are an award cost.

Hours past the limits of an annualised wage are paid on top, so time records and the yearly reconciliation have to hold up for seven years.

Set by Legal Services Award

The Legal Services Award covers legal support staff, from clerical and administrative levels to law graduates and law clerks. An employer may pay an annualised wage, but must compare it each 12 months with what the award would have paid, pay any shortfall within 14 days, and keep start and finish times acknowledged by the employee each pay period.

Legal Services Award 2020 (MA000116), clause 17, effective 1 March 2020; Annual Wage Review, effective each 1 July; Fair Work Act 2009 and Fair Work Regulations 2009, records kept for seven years.

Every pay run carries its own super deadline.

Fortnightly salaries and the bonuses paid when the financial year closes each have to be calculated, paid and in the fund inside seven business days.

Set by Payday Super

Each super guarantee contribution must be received by the employee’s fund within seven business days of the payday it relates to, with the details the fund needs to allocate it. Late contributions attract the super guarantee charge, and the Small Business Superannuation Clearing House is closed.

Common questions

Straight answers for law firms.

The questions principals and managing partners ask before they hand Visory the finance function. The general ones are on the common questions page.

Do you do our trust accounting?

No. Trust accounting stays with your firm’s trust account specialist, because it runs under its own rules and needs its own expertise. Visory runs the office-side books: bookkeeping, payroll, accounts payable and accounts receivable. Fees enter the office ledger once they have been transferred out of trust, and Visory reconciles them from there.

What is lock-up, and how do you measure it?

Lock-up is the number of days of fees tied up between doing the work and banking the cash: work in progress days, for time recorded but not yet billed, plus debtor days, for bills sent but not yet paid. Visory works it out each month from your ledger and your practice management reports, by partner, and sets it against the target your partners choose.

Can you track work in progress and unbilled time?

Yes, from the reports your practice management system already produces. Each month, aged work in progress is shown by partner and by matter, set against the costs estimate where you track one, and billed fees are tied back to the ledger. Matters with old unbilled time or nearing their estimate come to the top of the list.

How do you handle disbursements?

Every disbursement your firm pays, from counsel’s fees to search and filing costs, is coded to the matter it belongs to when the bill is processed. Each month, paid disbursements are checked against what has been billed, so recoverable costs left off a bill are listed for the responsible partner before the matter closes.

Will you chase our unpaid bills?

Yes, in your name, on a cadence you agree. Visory sends the reminders, follows up by phone where you want it, and reports aged debtors by partner each week. Under the Uniform Law, a client can ask for an itemised bill within 30 days of the costs becoming payable, and recovery proceedings cannot start until at least 30 days after the bill. Those proceedings, and any costs dispute, stay with the firm.

Can you show drawings against profit for each partner?

Yes. Each month the read shows the firm’s profit for the month and the year to date beside the drawings each partner has taken, so drawings are set against profit earned rather than cash in the bank. For an incorporated legal practice, the same view covers directors’ pay and dividends.

Is our firm too small for this?

Usually not. A firm of five people still records time, bills matters, chases debtors and runs an award payroll, and a partner doing the books after hours is time that is not being billed. Visory fits best from around five people; a sole practitioner with no staff usually needs less.

How much does Visory cost?

Visory charges one flat monthly fee for the scope we agree. No timesheets, no hourly billing, no surprises. The fee reflects the services you take and the volume of work in your firm, from the number of bills sent and payments received to the size of the pay run, so you know the monthly cost before you start.
