For not-for-profits
Your finance partner for clarity, governance confidence, and more impact.
Visory runs bookkeeping, payroll, accounts payable, and accounts receivable for Australian not-for-profits, with a dedicated team who know SCHADS, funder acquittals, and ACNC reporting, and Delphi AI under their oversight. Once a month, Organisation Performance turns the numbers into a picture your board can act on.
- Month-end closed in 3, 5, or 8 business days, on a timetable agreed with you and set to your board calendar.
- SCHADS Award payroll run by a named Payroll Officer and checked by Delphi AI before every pay run, across every level, allowance, and shift penalty.
- Board-ready reporting every month: cash, income by stream and funder, program performance, and the year ahead, in plain English.
Who we work with
Built for mission-led organisations doing complex work on lean finance.
Multiple funders, a SCHADS workforce, a volunteer board, and a finance function that has never been resourced to match. That is who Visory is built for.
- 5 to 100 staff and roughly $500k to $20m in revenue, led by a CEO or Executive Director who answers to a board.
- Income from government grants, philanthropy, donations, fee-for-service, and the NDIS, each with its own timing and conditions.
- A workforce on the SCHADS Award or several awards at once.
- A part-time bookkeeper, no dedicated finance person, or a finance manager buried in processing.
Anywhere in Australia. Your books stay in your own Xero, MYOB or QuickBooks file, and your team works with you remotely.
Across the sector
One finance function, across the sector.
Funders, awards, and reporting differ from one part of the sector to the next. The finance function underneath them is the same, and so is the team that runs it.
-
Community services and neighbourhood houses
Several small grants, each with its own acquittal, alongside room hire, program fees, and a workforce of part-timers and volunteers.
-
Disability and NDIS
NDIS payments reconciled next to grants and donations, and SCHADS payroll on rostered shifts. Claims stay with your team.
Visory for NDIS providers -
Aged care and home care
Award payroll across visits and shifts, with funding and reporting rules set by government.
Visory for aged care -
Health and mental health
Commissioned program funding, often through a Primary Health Network, tracked program by program, with clinical and support staff on different awards.
-
Indigenous programs
Funding from several government programs at once, each acquitted on its own terms, with reporting to a community board and to ORIC or the ACNC.
-
Advocacy
Membership fees, donations, and grants kept apart in the books, with donation receipts and records your reviewer can work from.
-
Education
Fees, government funding, and grants tracked by term and program, with teaching and support staff paid on the right awards.
-
Arts and culture
Project grants, ticketing, and seasonal income that arrive unevenly, tracked by project so every production shows its own result.
The pressure
Four rules shape your month. Your funders and regulators set them.
Grants arrive on the funder’s schedule, programs cost money every week, and the board, the auditor, and the regulator all want the same numbers told three ways. The finance function is where that gets managed, or missed.
Growth moves you up a tier.
The books have to be audit-ready all year, not rebuilt in the month the statement is due.
Every registered charity lodges an Annual Information Statement. Medium charities (revenue from $500,000) also lodge a financial report that is reviewed or audited; large charities (revenue of $3 million or more) lodge an audited one.
ACNC Act 2012; ACNC Regulation, size thresholds effective 1 July 2022.Restricted money has to stay visible as restricted.
Income tracked by funder and program, as it happens, is what turns an acquittal from a rebuild into a report.
Grant funding is spent on what was agreed and reported back to the funder. For Commonwealth grants, the Commonwealth Grants Rules and Principles set the framework; each funding agreement sets the acquittal.
Commonwealth Grants Rules and Principles 2024; individual funding agreements.Underpayment is a reputational risk before it is a financial one.
In a sector that runs on trust, the CEO has to be able to stand behind every pay run.
The Social, Community, Home Care and Disability Services Industry Award sets classifications by level and stream, minimum engagements, broken shifts, sleepovers, and allowances. Minimum rates rise every 1 July with the Annual Wage Review, and time and wages records are kept for seven years.
SCHADS Award (MA000100); Fair Work Act 2009 and Fair Work Regulations; Annual Wage Review, effective each 1 July.Every pay cycle is a super cycle.
The calculation and the payment both happen inside the week, every week, on a workforce of casuals, part-timers, and allowances.
Under Payday Super, super guarantee contributions must reach the fund within seven business days of each payday. The Small Business Superannuation Clearing House has closed, and the charge applies to late contributions.
Australian Taxation Office, Payday Super guidance; effective 1 July 2026.Every instrument named here is listed with its effective date at the foot of this page.

Programs are on budget. The gap is timing. Two grant instalments worth $310k are held until their acquittals are lodged.

In their words
What not-for-profits say about Visory.
“We've got to be across so many things as managers in the not-for-profit space already. I don't have the capacity to wrap my head around payroll and salary sacrificing - I'm just so grateful that's sorted.”
Common questions
Straight answers for not-for-profits.
The questions CEOs and boards ask before they hand Visory the finance function. The general ones are on the common questions page.
We already have a finance manager. Where does Visory fit?
Underneath them. Visory runs the processing: bookkeeping, payroll, payables, receivables, and the monthly close. That frees your finance manager to interpret the numbers, advise the CEO, and work with the board. With clean, timely data underneath them, they do the work only they can do.
We already have a bookkeeper. What changes?
A bookkeeper records what happened. Visory records it, checks it, and tells you what it means: income by stream and funder, restricted funds kept separate, SCHADS payroll run by a Payroll Officer, and a monthly report your board can act on. The question is less whether you have a bookkeeper than whether the books produce anything useful beyond compliance.
Can you track restricted funds and support our acquittals?
Yes. Income is coded by funder and program from the day it lands, restricted funds stay visible as restricted, and costs are allocated to the programs that incurred them. When an acquittal is due, the figures come straight from the ledger, so the report is drafted rather than rebuilt.
Can you run SCHADS payroll properly?
Yes. A Payroll Officer runs every pay cycle on the Social, Community, Home Care and Disability Services Industry Award, and any other awards your workforce spans: classification by level and stream, minimum engagements, broken shifts, sleepovers, allowances, and penalties. Delphi AI prepares and checks the run, your Payroll Officer oversees it, you approve it, and it is paid, reported through Single Touch Payroll, and the super sent within seven business days.
What does the board see each month, and when?
The month is closed in 3, 5, or 8 business days, on a timetable agreed with you and set to your board calendar. Then a short, plain-English report: revenue by stream, the cash floor and runway, income by stream and funder, program performance against budget, and a forward view of cash and funding twelve months out. Your Business Performance Partner walks the CEO and treasurer through it before the meeting, so the board conversation is about the plan, not the numbers.
Does Visory prepare what we lodge with the ACNC?
Visory keeps the books ready for it all year: income, expenses, and balances in the shape the Annual Information Statement and your financial report draw on, and records your reviewer or auditor can work from without a catch-up. The lodgement itself sits with your organisation and its reviewer or auditor.
We deliver NDIS supports. Do you handle that too?
Yes, the finance side of it, as part of the same service. NDIS payments are reconciled into the books alongside your grants and donations, invoices to plan managers and self-managed participants are followed up in your name, and NDIS claims stay with your team, lodged through the provider portal.
See Visory for NDIS providers Are we too small for this?
Usually not. Multiple funders, acquittals, SCHADS payroll, and board reporting do not shrink with the organisation, and the risk of getting them wrong is proportionally higher. Visory works best from around five paid staff; below that, with no paid employees at all, it is usually more than you need.
How much does Visory cost?
Visory charges one flat monthly fee for the scope we agree. No timesheets, no hourly billing, no surprises. The fee reflects the services you take and the volume of work in your organisation, so you know the monthly cost before you start.
