For aged care and home care providers

Books and award payroll that keep pace with the care you deliver.

Visory runs bookkeeping, payroll, accounts payable and accounts receivable for Australian aged care and home care providers, with a dedicated team and Delphi AI under their oversight. Once a month, Visory Insights turns the numbers into decisions your board and managers can act on.

  • Every Services Australia payment and participant contribution reconciled, participant by participant, so each monthly statement agrees with the books. Claims stay with your team.
  • Every pay run owned by a named Payroll Officer across the Aged Care, SCHADS, and Nurses awards, checked by Delphi AI, with super received inside seven business days.
  • Quarter-end figures closed in time for a board member to sign, and a monthly read from your Business Performance Partner with one move to make.

Who this is for

Built for providers who answer to a board and a regulator.

If your month runs on visits, shifts, subsidy claims, and a pay run that crosses awards, this is the finance function for it.

  • Registered providers of Support at Home or residential care, often with Commonwealth Home Support Programme services alongside.
  • Not-for-profit, church-based, or community-owned, roughly $750k to $20m in revenue, led by a CEO who answers to a board for the result.
  • A workforce on the Aged Care, SCHADS, or Nurses award, often more than one in the same pay run.
  • Income that arrives several ways: Services Australia subsidy, participant contributions, and grants, each on its own timing.

Anywhere in Australia. Providers in the cities, regional towns, and remote communities work with the same team, on the same monthly rhythm.

The pressure

Four rules set your month. Government sets all four.

Subsidy is paid in arrears on claims, participants see every dollar on a monthly statement, and the board signs the numbers each quarter. The finance function is where those three versions of the same month have to agree.

A statement is only as right as the ledger behind it.

Subsidy, contributions, and adjustments have to reconcile participant by participant before the statements go out, every month.

Set by Aged Care Rules 2025, section 155-40

A Support at Home provider must give each participant a written statement for every calendar month by the last day of the next one, even in a month with no services. It itemises each service with its price, units, the subsidy claimed, and the contribution charged, and shows the budget at the start and end of the month.

Aged Care Rules 2025, section 155-40, made under the Aged Care Act 2024; effective 1 November 2025.

Quarter-end is a board deadline, not a bookkeeping one.

The books have to close early enough for a director to read the figures before signing them, and the deadline has no extensions.

Set by Aged Care Rules 2025, section 166-340

Registered providers outside the Commonwealth Home Support Programme give the department a Quarterly Financial Report, with year-to-date financial statements, viability and prudential questions, and direct care rates of pay. It is signed by a member of the governing body and due 35 days after the quarter ends, or 45 days for the December quarter. The annual Aged Care Financial Report follows within four months of year-end, also signed by the governing body.

Aged Care Rules 2025, sections 166-340 and 166-310, made under the Aged Care Act 2024; effective 1 November 2025.

Every shift has to land on the right award.

A provider with residential homes and home care rosters can run three awards through one pay run, and a classification error repeats every cycle until someone finds it.

Set by Fair Work Act 2009, modern awards

Care staff in residential aged care are covered by the Aged Care Award, care workers in an older person’s home by the home care sector of the SCHADS Award, and registered and enrolled nurses by the Nurses Award. Each sets its own classifications, penalties, and allowances, and minimum rates rise every 1 July with the Annual Wage Review.

Aged Care Award 2010 (MA000018); SCHADS Award 2010 (MA000100); Nurses Award 2020 (MA000034); Annual Wage Review, effective each 1 July.

Each payday starts a seven-day clock.

For a workforce paid fortnightly on penalties, allowances, and broken shifts, the super calculation has to be right the day the wages are.

Set by Payday Super

Super guarantee contributions are on time only if the employee’s fund receives them, with the details needed to allocate them, within seven business days after the qualifying earnings are paid. A late contribution makes the employer liable for the super guarantee charge.

Visory Insights for aged care providers

One insight, start to finish, on a provider’s numbers.

Reports tell you what happened. Visory Insights tells you what it means, and what to do about it. Here is one month for Wattle Grove Community Care, a fictional home care provider at about $9m in revenue with 110 care workers.

What it means

Visits are on plan. The cash is not. $780k is about four and a half weeks of revenue sitting between the visit and the bank.

Participant contributions unpaid $160k At Risk $100k past the $60k the credit policy allows: contribution invoices sent apart from the monthly statement, and follow-up left until 60 days
Care delivered, not yet paid Claiming weekly brings $320k of subsidy forward, and collecting the overdue contributions brings in $100k
What to do next

Move Support at Home claims from monthly to weekly, and send each contribution invoice with the participant’s monthly statement. Your team lodges the claims. The weekly claim schedule and the contribution follow-up list are prepared for your session.

Care management, claiming, and rostering

Your care management system keeps participants, budgets, and statements, and lodges claims through the Aged Care Provider Portal or your business-to-government software. Visory matches the payments that land to the ledger through daily bank feeds, and your rostering tool keeps feeding the pay run.

Common questions

Straight answers for aged care providers.

The questions providers and their boards ask before they hand Visory the finance function. The general ones are on the common questions page.

Do you lodge our Support at Home claims?

No. Claims stay with your team, lodged through the Aged Care Provider Portal or your business-to-government software from your own delivery records. Visory reconciles every Services Australia payment that lands, and every participant contribution, into the books, so you can see what has been paid, for whom, and when.

How long do we have to claim for Support at Home, and how fast are we paid?

For ongoing services, the department’s guidance gives you up to 60 days after the end of each quarter to claim, and you choose how often you claim within that window. Services Australia expects to process and pay a valid claim within seven days. The longer you leave between claims, the more of your cash sits in care already delivered, which is why Visory Insights reports it every month.

Can you help us get the Support at Home monthly statements right?

Your care management system produces the statements. Visory makes sure the ledger agrees with them: subsidy received, contributions invoiced and paid, and adjustments carried into the right month, reconciled participant by participant. When the statement and the books disagree, the difference is found before the statement goes out, not after a participant asks.

Can you run payroll across the Aged Care, SCHADS, and Nurses awards?

Yes. A Payroll Officer runs every pay cycle on the award each role sits under: the Aged Care Award for residential care staff, the home care sector of the SCHADS Award for care workers in people’s homes, and the Nurses Award for registered and enrolled nurses. Delphi AI prepares and checks the run from your rostering data, your Payroll Officer oversees the classifications, you approve it, and it is paid, reported through Single Touch Payroll, and the super received within seven business days.

What goes into the Quarterly Financial Report, and who signs it?

Year-to-date financial statements at the provider level, viability and prudential questions, and direct care rates of pay, with residential providers also reporting care costs and hours by home. A member of your governing body signs it, and it is due 35 days after the quarter ends, or 45 days for the December quarter. Visory closes the quarter in time and prepares the financial statements from the books; your team completes the rest and submits it.

Do you prepare our Aged Care Financial Report?

Visory keeps the books ready for it all year, with income, expenses, and balances in the shape the report draws on, so your team and your auditor work from a reconciled ledger rather than a year-end rebuild. Residential providers also include an audited general purpose financial report. Signing and submitting the report sits with your governing body.

Who chases participant contributions?

Once Services Australia processes a claim, it confirms the contribution each participant owes, and you invoice the participant directly. Visory issues those invoices and follows them up in your name, on a cadence you agree, and reconciles each payment to the participant’s account, so overdue contributions show up in the month they fall due.

We also run CHSP or NDIS services. Do you handle those too?

Yes, the finance side, in the same ledger. Commonwealth Home Support Programme grant income is tracked by activity so the funder’s reporting draws straight from the books; a provider delivering only CHSP services does not lodge the Quarterly Financial Report or the Aged Care Financial Report. NDIS payments are reconciled alongside, and NDIS claims stay with your team.

How much does Visory cost?

Visory charges one flat monthly fee for the scope we agree. No timesheets, no hourly billing, no surprises. The fee reflects the services you take and the volume of work in your organisation, from the size of the pay run to the number of participants and invoices each month, so you know the monthly cost before you start.
